Brownfield Equipment Retrofits: Which Existing Interfaces Should Be Verified Before Capture?

Retrofit fit-up depends on specific connections, datums, clearances and access conditions — not on having the most visually complete model.

In a brownfield equipment retrofit, fit-up is controlled by interfaces.

The overall room may be captured clearly, but the project can still be short of information if a mounting face, connection point, reference elevation or installation path is missing.

The capture plan should begin with the intended modification and the way the new work must connect to the existing facility.

Start with the modification, not the scanner

Before fieldwork, define:

  • what is being removed, replaced or added;
  • which existing systems the new work will touch;
  • what must remain in place;
  • how the new item will be transported, lifted and installed;
  • which interfaces are fixed and which may be adjusted; and
  • what the next team needs to receive.

This turns a general request to “scan the area” into a focused interface plan.

1. Mounting and foundation interfaces

Depending on the equipment, relevant conditions may include:

  • foundation or base geometry;
  • mounting planes and elevations;
  • anchor or bolt locations;
  • grout, shims or packers that affect the observed condition;
  • edge distances and nearby obstructions; and
  • a stable reference for relating the existing base to the proposed equipment.

Some features may require a targeted measurement in addition to a surface scan. An anchor centre, covered bolt, worn pad or irregular surface should not be treated as fully established merely because the surrounding point cloud looks complete.

2. Mechanical and process connections

Connection planning may depend on:

  • flange or nozzle location and orientation;
  • connection-face position;
  • pipe centre lines and nearby fittings;
  • mating equipment interfaces;
  • existing supports and restraints;
  • valve, instrument or service locations; and
  • the space required to assemble or disconnect the joint.

Insulation, guards, operating equipment and restricted access can hide the exact feature that matters. The visibility status of each critical connection should be recorded.

3. Surrounding clearances and obstructions

The equipment envelope alone is not enough.

Capture may also need to establish the relationship to:

  • structural steel;
  • platforms, stairs and handrails;
  • piping and cable tray;
  • guards and enclosures;
  • walls, doors and openings;
  • overhead services; and
  • adjacent equipment that must remain accessible.

The required boundary should include the conditions that can constrain operation, maintenance, installation or removal.

4. Installation, removal and maintenance access

A model that shows the final position may still omit the route needed to get the equipment there.

Consider:

  • door and opening dimensions;
  • turning and lifting envelopes;
  • crane, hoist or forklift approach;
  • temporary removal of guards, handrails or piping;
  • laydown and assembly space;
  • personnel access; and
  • future service or component-removal space.

These conditions are project-specific. The responsible team should identify the planned installation method so the capture can include the relevant surroundings.

5. Datums, coordinates and reference features

Interfaces become more useful when they share a clear reference basis.

The scope should define:

  • project units;
  • the coordinate system or local datum;
  • reference elevations;
  • equipment centre lines or grid lines;
  • the relationship between field data and available drawings; and
  • how later checks will be tied back to the same basis.

Without that reference, individually accurate dimensions may still be difficult to coordinate.

6. Conditions a scan cannot settle alone

A capture records visible conditions at a point in time. It does not automatically establish:

  • hidden or internal geometry;
  • material properties or condition;
  • load paths or capacity;
  • thermal movement, vibration or operating deflection;
  • original design intent;
  • temporary conditions after the capture date; or
  • the suitability of an interface for a changed duty.

Those items may require operating information, controlled records, inspection, supplementary measurement or qualified review.

A pre-capture interface checklist

Before mobilizing, confirm:

  1. Which interfaces are decision-critical?
  2. Which are visible and accessible?
  3. Which require a supplementary measurement or later exposure?
  4. What reference system relates them together?
  5. What installation and removal paths must be understood?
  6. What output will the next team use?
  7. What remains unresolved after capture?

The takeaway

A successful retrofit capture is not defined by how much of the room is scanned.

It is defined by whether the visible conditions, critical interfaces, reference basis, access constraints and unresolved items are clear enough for the next project decision.
